Data Protection Policy
Swanley History Group holds a database containing names, addresses, contact phone numbers and email addresses for Members and other interested individuals solely for the purpose of keeping them informed of events and managing memberships. This includes sending monthly reminders of Group Meetings, a members newsletter, renewal reminders and news about the Group’s activities.
SHG will never sell or share members information with outside parties.
The database is only accessed by the Chair and Group Secretary. Since we do not have a dedicated SHG Computer the information is accessed on their personal computers. Both these computers have the usual virus and security protection normally associated with personal computers.
Your permission will always be sought before passing any contact details to other Committee Members or individuals should this be deemed necessary for a specific reason related to SHG activities.
No personal information is stored on our Website or Facebook Page, although you should activate your own Facebook Privacy settings if you ‘like’ or comment on posts as is standard for all Facebook activity.
You have the right to withdraw consent at any time for any or all of the methods (post, telephone, email) by contacting the Group Secretary.
Once your membership has ceased we will keep your information for 6 months and then delete it unless you advise us that you wish to continue to receive SHG information.
